Remember that Volunteer Officials must not consume alcohol until the day’s activities are complete, or be affected by drugs at any time while on duty. Drinks will be provided at the conclusion of each day’s racing.
All Volunteer Officials are required to sign on each morning and attend the Officials Briefing, times will be confirmed closer to the event but the briefing is usually around 7am.
Go to the back of the Pit Paddock / Race Secretary Office. Your name will be listed under your team. Read the disclaimers and sign your name – do not forget you will need to do this each day.
The Credentials and Sign On night will be held on Wednesday 13th June (venue TBC). At the Credentials evening you will:
- Collect your Officials Pack, which will include your event accreditation and uniform
- Receive final instructions from Senior Officials
- Familiarise yourself with other in your team
- Get a chance to ask questions on thing you are unsure of
All registered Officials must attend this evening, sign on will be from 5.30pm, dinner and light refreshments will be provided.
NTMEC are updating their database, make sure we know how many years you have officiated at Hidden Valley by emailing firstname.lastname@example.org

The Australian Officials Commission’s Fabulous Officials initiative has been designed to recognise hard working volunteer officials. Nominations are open to anyone who you believe deserves some recognition for their dedication to motorsport.

Volunteer Officials will be allowed access to the venue from 6am each morning (make sure you have your accreditation pass with you)

Lunch packs and bottled water will be delivered to you at your location throughout the weekend. If you have indicated ‘special dietary requirement’ on your registration, please advise your team leader each morning. Please do not bring non Coca Cola products to the event.
Please remember that cameras and mobile phones may not be used by Officials whilst on duty. Speak to your Senior Official if you have a special need and he/she will assist you.
If you are a new official volunteer and do not hold a CAMS licence, please download your CAMS Trainee Licence before you attend the event and bring it with you. Make sure at the conclusion of the event you get your Trainee Officials Licence signed by your supervisor or senior official. You will then be required to lodge this form with CAMS Customer Service. Upon receipt of this form you will be allocated with your CAMS member number and be contacted by CAMS regarding Step 2 of the process to becoming a General Official. The 2018 Organising Committee consists of Clerk of Course Lawrie Schmitt, Deputy Clerk of Course Vince Ciccarello, Jack Holding as Race Secretary, Wayne Oliver as Chief Marshal and Celia de Latour from NTMEC.
Designated parking for officials is located adjacent to Gate 4. You must not park elsewhere unless you have a specific or race-related reason for doing so, and have the correct vehicle pass. Plan your time to park your car and catch the shuttle bus down to the Paddock. You will be forwarded a venue map closer to the event.
All volunteer officials are welcome to attend the after-race concerts held at the Hidden Valley’s Centre Stage on both Saturday and Sunday nights. Further details will be released soon.
Please read and abide by the advice given in the CAMS Guidelines for the use of Social Media and ensure you are familiar with the CAMS Social Media Policy
There will be a thank you get together which will be held in the Briefing Area. This will take place after the completion of racing on Sunday (approximately 5.30pm). It is possible there will be a Media Conference in progress around this time. We ask for your patience in waiting until it has concluded before moving into the Briefing Area.
To present a united identity at the event, all officials are required to the wear the provided “Official’s Shirt” each day of the event – your shirt is provided in your officials pack which can be collected from the sign on night. Virgin Supercars Australia will provide a cap. You must wear clean jeans or long pants and closed toe shoes.
Bring insect repellent, for your own protection. Sunscreen and earplugs will be included in your officials pack.
All registered officials will be forwarded a venue map prior to the event, which will outline when to park, shuttle bus stops and where to sign on.
